  • Overview

    The Academic Manager will be responsible for the development and successful implementation of tutoring programs for the Los Angeles Promise Neighborhood initiative. This person will implement and evaluate systems that support the operations and logistics of running a high-quality program, monitor the accuracy of data across several databases while assisting with data entry when needed, and will ensure grant compliance. This will include the recruitment, hiring, training, scheduling, professional development, and evaluation of one Academic Coordinator and approximately 70 part-time tutors over 10+ school sites. This individual will need to be flexible and personable, able to balance multiple projects at once, and handle all issues and concerns with tutors, school staff, and YPI team members in a professional manner. S/he will be asked to travel to various school sites to ensure proper program implementation.

    Responsibilities

    Program Management & Implementation:

    • Manage one Full Time Academic Coordinator and all aspects of the Promise Neighborhood tutoring programs, ensuring a high level of quality, detail, and measurable impact with students through:
      • In-school tutoring
      • Out-of-school time tutoring
      • Program Evaluation
      • Staff hiring, onboarding, and training
    • Serve as liaison for Tutoring Program and ensure effective communication with all relevant LAPN staff and key school stakeholders.
    • Work closely with Community School Coordinators to ensure that tutoring programs are implemented with fidelity to the program model, and to monitor the development and progress towards outcomes with each tutor.
    • Work closely with the Promise Neighborhood and Community School Imapct team in building and refining components of the program through regularly scheduled school observations, feedback from Tutors, YPI staff, and school staff, and review of output and outcome data.
    • Work closely with the Academic Support team in building and refining components of the program through regularly scheduled school observations, review of feedback from tutors and Community School Coordinators, YPI school staff, and program data.
    • Ensure programs align with the school and district curricula.
    • Along with the Academic Coordinator, complete regular observations of each Tutor with feedback and provide follow up coaching as needed, and contribute to the overall performance evaluation for each tutor.
    • Implement tutor program orientation and training for school partner at the start of the school year and as needed.
    • Coordinate with school administration and instructional coaches to ensure school specific trainings are provided to tutors.
    • Support Community School Coordinators in the development of Tutor class schedules.

    Training & Development:

    • Work closely with the YPI Learning and Development team and Assistant Director to ensure that all required training content related to compliance and content is provided.
    • Work with Promise Neighborhood site staff to identify academic- specific trainings necessary for Tutors.
    • Plan and facilitate Tutor Onboarding and Training days.
    • Collect and integrate feedback from Tutors, YPI staff, and school staff into training and coaching on an ongoing basis.

    Data & Evaluation:

    • Lead team on creating effective systems and processes for tutoring data collection and entry, including but not limited to tutor sign-in sheets and student tutoring logs.
    • Work closely with partner school staff and YPI site staff to create and manage Focus Lists for Tutors throughout the year.
    • Collect impact data, both qualitative and quantitative, to demonstrate progress towards grant outcomes.
    • Conduct End of Year assessments with all partner teachers and administrators to assess overall success of program.
    • Prepare and present quarterly program narrative (qualitative and quantitative).

    Human Resources:

    • Work closely with Community School Coordinators to recruit, interview, hire, and onboard approximately 70 part-time Tutors.
    • Support Tutor Supervisors with staff improvement plans and termination, as necessary.
    • Ensure all new hires complete on-boarding sessions with YPI Human Resources and meet other organization requirements.

    Other:

    • Participation in the Promise Neighborhood and GEAR UP, and Community School Impact teams. This includes conference calls, e-mails, working groups, team meetings, etc.
    • Travel to other office, work and school sites throughout Pico-Union / Hollywood / Westlake as necessary.
    • Other duties as assigned.

    Qualifications

    • BA/BS degree required, Masters degree preferred.
    • A minimum of 2 years experience in a non profit, social service, or school setting required.
    • A minimum of 1 year experience working in a supervisory/management position required.
    • Demonstrated knowledge of school district structure, operations, and dynamics, preferably with Los Angeles Unified School District.
    • Proven management and leadership capabilities, independent worker, keen attention to detail, and effective verbal and written communicator.
    • Knowledge of Common Core State Standards and commonly used assessment tools such as the SBAC, NWEA, and the Reading Inventory and Math Inventory.
    • Ability to work in a fast-paced, entrepreneurial environment.
    • Passion for working with and developing young adults.
    • Strong computer skills and a complete knowledge of Microsoft Office (Word, Excel, Access, PowerPoint) and Google Apps (Drive, Docs, Sheets, Slides, etc.).
    • Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment.
    • Must present proof of being free of active Tuberculosis (TB) prior to beginning employment. All TB clearances must be conducted no more than 60 days prior to start of employment.
    • Must have access to reliable transportation.  If applicable, will be required to provide proof of current California driver license, acceptable driving record (current DMV H6 printout), and current liability auto insurance.
