  • Overview

    The Academic Coordinator will work as a part of the Academic Support team to support the day to day implementation of various high-quality tutoring programs taking place across multiple school sites in the Hollywood and San Fernando Valley neighborhoods. The Academic Coordinator will be responsible for overseeing the quality, instruction, and outcomes of the tutoring programs to ensure we are providing high quality, rigorous programs to all participants. This individual will need to be flexible and personable, able to balance multiple projects at once, and handle all issues and concerns with tutors, school staff, and YPI team members in a professional manner. S/he will be asked to travel to various school sites to ensure proper program implementation.

    Responsibilities

    Program Coordination & Implementation

    • Work closely and support the Academic Manager in all aspects of the GEAR UP and GEAR UP/PZ tutoring programs, ensuring a high level of quality, detail, and measurable impact with students off-track from high school graduation and college/career readiness, including, but not limited to:
      • In-school tutoring
      • After-School Programs
      • Partner Administrator and Teacher meetings and training
      • Program Evaluation
      • Staff hiring, onboarding, and training
    • Support GEAR UP School Coordinators to ensure that tutoring programs are implemented with fidelity to the program model, and to monitor the development and progress towards outcomes with each tutor.
    • Work closely with the GEAR UP teams in building and refining components of the program through regularly scheduled school observations, feedback from Tutors, YPI staff, and school staff, and review of output and outcome data.
    • Ensure programs align with the school and district curricula.
    • Along with the Academic Manager, complete regular observations of each Tutor with feedback, provide follow up coaching as needed, and contribute to the overall performance evaluation for each tutor.
    • Support in the implementation of tutor program orientation and training for school partners at the start of the school year and as needed.
    • Support GEAR UP School Coordinators in the development of Tutor class schedules.
    • Support with parent orientation sessions as needed.

    Training & Development

    • Work closely with the YPI Learning and Development team and Academic Manager to ensure that all required training content related to compliance and content is provided.
    • Work with GEAR UP site staff to identify academic- specific trainings necessary for Tutors.
    • Plan and facilitate Tutor Onboarding and Training days.
    • Collect and integrate feedback from Tutors, YPI staff, and school staff into training and coaching on an ongoing basis.

    Data & Evaluation

    • Support the implementation of systems and processes for tutoring data collection and entry, including but not limited to tutor sign-in sheets and student tutoring logs.
    • Along with the Academic Manager, support partner school staff and YPI site staff to create and manage Focus Lists for Tutors throughout the year.
    • Collect aggregate impact data, both qualitative and quantitative, to demonstrate progress towards grant outcomes.
    • Utilize student data to support tutors’ development of intervention and activity plans.
    • Support the implementation of End-of-Year assessments with all partner teachers and administrators to assess overall success of program.

    Human Resources

    • Support the Academic Manager to recruit, interview, hire, and onboard approximately 30 part-time Tutors.
    • Support Tutor Supervisors with staff improvement plans as necessary.
    • Ensure all new hires complete on-boarding sessions with YPI Human Resources and meet other organization requirements.

    Other

    • Participation in the GEAR UP team. This includes conference calls, e-mails, working groups, team meetings, etc.
    • Travel to other office, work and school sites throughout Pico-Union / Hollywood / Pacoima as necessary.
    • Other duties as assigned.

    Qualifications

    • BA/BS degree required.
    • At least 2 years experience in a non profit, social service, or school setting required .
    • Demonstrated knowledge of school district structure, operations, and dynamics, preferably with Los Angeles Unified School District.
    • Proven management and leadership capabilities, independent worker, keen attention to detail, and effective verbal and written communicator.
    • Knowledge of Common Core State Standards and commonly used assessment tools such as the SBAC, NWEA, and the Reading Inventory and Math Inventory.
    • Ability to work in a fast-paced, entrepreneurial environment.
    • Passion for working with and developing young adults.
    • Strong computer skills and a complete knowledge of Microsoft Office (Word, Excel, Access, PowerPoint) and Google Apps (Drive, Docs, Sheets, Slides, etc.).
    • Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment.
    • Must present proof of being free of active Tuberculosis (TB) prior to beginning employment. All TB clearances must be conducted no more than 60 days prior to start of employment.
    • Must have access to reliable transportation.  If applicable, will be required to provide proof of current California driver license, acceptable driving record (current DMV H6 printout), and current liability auto insurance.
