  • Overview

    The Youth Policy Institute is currently seeking an Inventory & Purchasing Clerk for a temporary assignment. The Inventory & Purchasing Clerk will support the Inventory/Purchasing Coordinator and the Inventory & Purchasing Manager in the ordering of materials, supplies, and/or equipment. The Inventory & Purchasing Clerk will serve as the liaison between the Purchasing Manager and YPI departments, communicate the status of all related purchasing inquiries and is responsible for the follow through with vendors, shipment and monthly orders.


    • Work directly with EXL Inventory/Purchasing Coordinator and the YPI Inventory Purchasing Manager.
    • Monitor and update the status of orders using the YPI tracking portal.
    • Communicate challenges or glitches with order within 48 hours to department. 
    • Follow up on orders to ensure that materials, equipment are shipped and delivered on scheduled dates.
    • Receive and inspect packages when delivered to warehouse.
    • Maintain records and follow up on purchases, shipments, and related matters.
    • Inspect products received for quality and quantity to ensure adherence to specifications.
    • Responsible for inventory and asset tagging of equipment that are valued at $200.00 or more.
    • Participate in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job.
    • Reviews documents and data (e.g. incoming requisitions, past purchases, reconciliations, inventories, etc.) for the purpose of ensuring completeness and accuracy of purchasing process.
    • Electronic submission of orders into Supplier Portal as required.
    • Review and resolve supplier invoice discrepancies.
    • Responsible for maintaining storage rooms and warehouse clean and organized.
    • Notify YPI staff when orders are ready for pick up and or schedule supply drop off.
    • Track all orders that are picked on the Supply Sign-out sheet.
    • Assist with supplies to employees’ vehicle as needed.
    • Create monthly supply order reports. 
    • Other duties as assigned.


    • High school diploma or GED equivalent required.
    • A total of 2 years purchasing experience preferably in a manufacturing environment.
    • Proficient in Microsoft, Office, Word, Excel database software and google docs and Gmail.
    • Knowledge of product and service purchasing policies and practices.
    • Exceptional organizational skill; attention to detail; ability to prioritize; ability to meet deadlines; ability to multi-task. Strong problem-solving ability.
    • Ability to make timely decisions and demonstrate good judgment even in the face of ambiguity.
    • Exceptional flexibility, customer service orientation and optimistic approach to overcoming obstacles.
    • Must be available to work some weekends and evenings.
    • Excellent verbal and written communication skills
    • Required proficiency in Microsoft Suite applications and Google Drive.
    • Ability to interact with vendors and provide assistance to various YPI departments.
    • Must have access to reliable transportation to travel between work sites. Will be required to provide proof of acceptable driving record, current California driver license and liability auto insurance.

    Physical Demands

    • Performing physical activities that require considerable use of your arms, legs and moving your whole body, such as climbing, lifting (30-70lbs) or more, balancing, walking, stooping, and handling of materials.
